A vacancy exists for a Management Secretary, based at Life Hilton Private Hospital, reporting to Nicholas Thorne, Hospital Manager. The successful candidate will be responsible for providing a full secretarial and administration support to the Hospital Manager and Management.
- Critical Outputs
-
- Diary management,
- Typing and formatting all relevant correspondence and other documentation in MS Word,
- Creating and updating relevant spreadsheets in MS Excel,
- Designing and formatting of presentations on MS PowerPoint,
- Managing and maintaining an efficient filing system,
- Taking minutes at meetings and keeping of an accurate record of the minutes,
- Coordination and management of Travel Arrangements
- Dealing with telephonic enquires for the managers,
- Setting up of meetings/interviews and all associated arrangements,
- Interfacing professionally with internal and external customers,
- Assist in arranging functions and conferences
- Access, maintain and distribuite various types of technical and staff data including reports, letters, mailing lists an memoranda.
- Manage mail and courier services
- Management of Petty Cash
- Assist the HR function, with the focus on recruitment, Kronos and payroll
- General administrative duties.
- Requirements
-
- Secretarial Diploma would be an advantage
- Minimum of 4 Year Secretarial Experience
- Extensive proven training in and knowledge of MS Office is a pre-requisite
- Accuracy, speed and attention to detail are important, as are good language and grammar skills
