Hospital Senior Secretary
Introduction

A vacancy exists for a Hospital Senior Secretary based at Life St Georges Hospital, reporting to the Hospital Manager. This position is responsible for providing a full secretarial and administration support to the Hospital Manager and Management Team. 

Critical Outputs
  • Typing and formatting correspondence and documentation in MS Word (including month end reports)
  • Document Control
  • Managing and maintaining an efficient filling system
  • Managing and answering of telephonic enquiries
  • Creating and updating relevant spreadsheets in MS excel
  • Designing and formatting of presentations on MS Powepoint
  • Diary Management
  • Arranging events
  • Co-ordination and management of travel arrangements when necessary
  • Ordering of stationery and office equipment
  • Arranging meetings, conferences and functions agenda, venue, technical equipment & catering
  • Greeting guests for meetings
  • Taking minutes at meetings
  • Handling the administration process for Capital expenditure item
  • Escalation of patient complaints and compliments to the necessary manager
  • Assisting with Marketing activities
  • Extracting and collating of statistics
  • Co coordinating of month end reports
  • Interfacing professionally with internal and external customers
  • Ability to deal with confidential information
Requirements
  • Matric plus Secretarial Diploma / relevant equivalent qualification is a must
  • Minimum of 4 years Secretarial / Administration experience
  • Extensive proven training in and knowledge of MS Office is a pre-requisite
  • Sound mathematical skills
  • Accuracy, speed and attention to detail are important, as are good language and written skills
