Introduction

A vacancy exists for a Junior Secretary based in the Finance Department at Life Queenstown Private Hospital. The successful candidate will report to the Hospital ManagerSive Jama and will be responsible for providing full administration support.

Critical Outputs
  • Preparing and capturing of requisitions, payments and orders on SAP.
  • Facilitate the procurement cycle.
  • Managing allocated creditors. Reconciling, processing and liaising with creditors and hospital staff on a daily basis regarding queries on creditors.
  • Coding an allocation of payments and receipts in the cashbook.
  • Assisting the Finance and Admin Manager with ad hoc tasks.
  • Clearing of ban and creditor reconciling items.
  • Resolving creditors and debtors account queries.
  • Maintaining a filing system for creditors.
  • Updating and management of the contracts register.
  • Assisting in reviewing and establishing adequate internal controls.
  • Managing the account receivable sub-system.
  • Preparing accurate and complete accruals at month end.
  • Assist the Finance and Admin Manager with month end and Capital expenditure reporting.
  • General Admin duties, e.g. filling, taking of minutes etc.
  • Liaising with the national credit control department with regard to daily banking and bank transfer payments.
  • Management of petty cash.
  • Constantly striving to improve working methods to improve standardization and efficiencies.
  • Compile documentation to be submitted to COID.
  • Follow up with COID regarding submitted COID incident documentation. 
  • Follow up on accounts generated through the COID process.
  • Attending to doctors queries and patients visiting doctors room
Requirements
  • Minimum Grade 12 / Senior Certificate
  • A post matric qualification in bookkeeping/administration will be an added advantage.
  • At least 3 years’ relevant experience and technical skills to meet the critical outputs.
  • SAP knowledge is essential.
  • Financial process understanding up to trail balance.
  • Computer proficiency in MS Office.
  • Ability to perform balance sheet reconciliations.
  • Attention to detail regarding recons.
  • Understanding of the private health care industry, its challenge and role players would be an added advantage.
