A vacancy exists for a Hospital Secretary based at Mercantile Hospital, reporting to Pat Lubobo, Hospital Manager. This position is responsible for providing a full secretarial and administration support to the Hospital Manager and Management Team.

Critical Outputs
  • Diary management
  • Typing and formatting all relevant spreadsheets in MS Excel
  • Designing and formatting of presentations on MS PowerPoint
  • Managing and maintaining an efficient filing system
  • Taking minutes at meetings
  • Dealing with telephonic enquiries for Managers
  • Co-ordination and management of travel arrangements
  • Setting up of meetings and all associated arrangements
  • Interfacing professionally with internal and external customers
  • Assist in arranging functions and conference
  • Access, maintain and distribute various types of technical and staff data including reports, letters, mailing lists and memoranda
  • Sanctioning of healthcare service providers on the system, including record keeping of all relevant documentation and maintaining an updated insurance schedule
  • Loading of SAP requisitions pertaining to Agency, ad hoc Doctors payment and flowers
  • Manage mail and courier services
  • Management of Hospital’s general notice boards
  • Co-ordinate CIP communication and meetings
  • Management of Petty Cash
  • General administrative duties
  • Management of the uniform ordering and receiving process
  • Matric plus Secretarial Diploma / relevant equivalent qualification is a must
  • Minimum of 4 years Secretarial / Administration experience
  • Extensive proven training in and knowledge of MS Office is a pre-requisite
  • Sound mathematical skills
