A vacancy exists for a Hospital Secretary based at Life Flora Hospital, reporting to Jacques De Klerk Hospital Manager. The successful candidate will be responsible for providing a full secretarial and administration support to the Hospital Manager and Management. The incumbent will be responsible with liasing with a variety of internal and external stakeholders and will be expected to function at all levels within the management team.
- Critical Outputs

- Provide full secretarial support to the Hospital Manager which entails typing of all relevant correspondence and statistics, consolidating month end reports, message taking, diary management and setting up of meetings.
- Accurate and timeous minute taking and maintaining records of minutes.
- Coordinating the issuing of patient files for legal matters.
- Management of catering arrangements and venue bookings for management functions.
- The ability to critically judge situations that could potentially impact on the reputation of the hospital and facilitate an appropriate escalation response.
- Maintenance of an efficient filing system.
- Coordination and management of travel arrangement.
- Telephonic and face-to-face liaison with doctors, patients, and other key stakeholders in the business and to ensure this is conducted in a professional manner.
- Facilitate complaints from dissatisfied clients who present to the management offices or via a telephonic call, in a positive and professional manner and escalate to relevant management member to address.
- Ad hoc projects and tasks, which arise on a day-to-day basis and provide support to other management members as needed.
- Requirements

- Matric plus Secretarial Diploma / relevant equivalent qualification is a must
- Minimum of 4 years Secretarial / Administration experience
- Extensive knowledge of MS Office
- Excellent attention to detail
- Excellent interpersonal skills
- Healthcare experience will be advantageous
- Ability to work in a pressured & changing environment
