A vacancy exists for a Clinic Administrator for the Life Renal Dialysis Panorama, reporting to Unit Manager.
The successful candidate will set the highest premium of quality care by ensuring that the Life Healthcare and Life Renal Dialysis standards are achieved and maintained. Participate and manage various projects as directed by the Clinic Head Nurse and Area Head Operations.
Have a clear understanding of all patients’ needs in helping them deal with renal disease. Maintain a professional relationship with the Clinic Head Nurse, Commercial Manager, colleges, patients, head office personnel, doctors and management. Looks for improvement potential. Managing and oversees stock control in the clinic. Manage documentation and processes to ensure timeous and accurate billing for all renal treatment modalities.

RECEPTION:
- Manage telephone calls.
- Maintain telephone etiquette.
- Greet and assist patients into the unit / notify clinical staff of arrivals.
- Check diary daily for any changes in bookings.
STOCK ROOM
- Monitor stock room and refrigerator temperature and report abnormalities.
- Pack stock room according to first expiring first out.
- Alerting the unit manager about incoming goods.
- Circle expiry dates.
- Assist in stock count.
- Locking of stock room always.
ADMINISTRATION:
- Data collection of all new CHD and/or AHD patients – demographic-, medical aid- and clinical information as requested on the registration documentation. Signing of Terms & Conditions and and sending all the required documentation to the Billing & Administration Office for processing.
- Collect all the required documents for authorisation, i.e. authorisation request template, blood results, letter of motivation where required, and other documents as required to obtain authorisation, and send it to the Billing & Administration Office for processing.
- Working together with clinical teams to ensure completion and administration of renal documentation meets daily requirement o:
- Daily DAR sheets
- Chronic and Acute Charge sheets
- Confirmation and submission of documentation for the authorisation process of acute as well as chronic treatments within the expected time frame
- Daily submission of acute and chronic tick lists to Billing department
- Assist with obtaining holiday patients dialysis prescription signed by their treating doctor as well as the required blood results.
- Consolidate data to perform and submit month end reporting as required.
- Timeous submission of reports as meets business requirements
- Collating, analysing and interpreting of data to perform month end reporting.
- General photocopies and emails for clinical staff when needed.
- File patient blood reports, scripts, make files, labels for files, etc.
- Liaise with all laboratories for patient blood results.
- Assist with staff time sheets.
- Perform all Portal orders for consumables, maintenance, groceries, stationary, solid waste, water, etc.
- Archive any relevant paperwork.
- Distribute patient information, marketing material, etc. when necessary.
- Compile and submit patient meal order list.
- Equipment movement request completion and submission supported by clinic head nurse
- Expenditure request completion and submission.
- Euclid vs Billing variance solving in assistance with the Clinic Head Nurse.
- Complete and submit Month End stock count.
- Monitor stock levels weekly to ensure there is no shortage of stock.
- Oversees the management, purchase, and replenishment of goods in a sales establishment to ensure maintenance of stock levels.
- Maintaining accurate record of inventory and stock management system according to standards.
- Placing of orders and follow up on issue of purchase orders and deliveries, to ensure requested goods are delivered.
- Maintains computer generated open Purchase orders and open goods receipt.
FINANCE:
- Where necessary, work together with central billing and authorisation teams to resolve with Medical Aids regarding non-payment, short payment, etc.
- Submit invoices for payment and complete GRN’s.
- Control stock in the unit by purchasing items from the Preferred Providers List (PPL) and prevent unnecessary waste of disposables and maintain minimum stock levels.
CUSTOMER CARE:
- Make appointments for patients with various doctors and for tests needed.
- Make hospital bed bookings for admissions.
MARKETING:
- Support marketing teams with ongoing communication. Being escalated to the right stakeholders.
- Maintain a professional relationship with doctors and hospital management.
- Maintain a professional relationship with suppliers for update in products.
- Take part in organising venues like kidney options, patient support groups etc.
- Requirements

- Grade 12 with Diploma in Administration preferable
- On the job training for stock controlling
- Familiar with healthcare business
- SAP portal
- Comfortable with MS Office standard applications
- Good Knowledge of MS Word and MS Excel
- Fluent English is a must (presenting, writing, reading)
- Other languages besides country language an asset
- Knowledge on dialysis services and products an advantage
- Working for an international company with international standards
- Willingness to work weekends and shifts
